Integrate HubSpot with InboxAlly

The InboxAlly + HubSpot integration enables automatic contact validation, seed syncing, and real-time contact hygiene within your HubSpot CRM.

Once connected, InboxAlly can: - Automatically sync InboxAlly seed emails into HubSpot lists
- Validate new or existing HubSpot contacts using your validation credits
- Perform recurring revalidation to maintain list health
- Provide real-time monitoring of sync and validation activity

Prerequisites

Before you begin:

  • Active InboxAlly account with available validation credits
  • Admin access in your HubSpot workspace
  • Ability to install apps or manage integrations in HubSpot

Step 1: Connect and Authorize HubSpot

  1. Log in to your InboxAlly account.
  2. Go to My Account → Integrations → HubSpot.
  3. Click Connect HubSpot.
  4. You’ll be redirected to HubSpot for authorization.
  5. Select your HubSpot account and click Connect App.

After authorization, you’ll be redirected back to InboxAlly.
The connection will initialize automatically and begin syncing data.

Step 2: Review Integration Status

Once connected, you’ll see your HubSpot integration dashboard:

Metric Description
Integration Status Shows if the integration is working normally
Token Displays validity and expiration date
Webhook Shows whether the webhook is active and last activity time
Contacts Processed Displays number of HubSpot contacts synced in the last 7 days
Validations Shows total validations and success rate
Seed Sync Displays number of InboxAlly seeds successfully synced

Step 3: Configure Integration Settings

Sync IA Seeds

Toggle Yes to automatically sync InboxAlly seed addresses to HubSpot.
Requires an active InboxAlly subscription.

Max Seeds to Sync

Set the maximum number of seeds to sync.
Default: 100
Click Save after making changes.

Validate New Contacts

Enable this toggle to automatically validate new HubSpot contacts as they are added.
This uses your InboxAlly validation credits.

Regularly Revalidate All Contacts

Turn Yes to enable recurring revalidation for all contacts.
Choose your preferred Revalidation Interval (Monthly, Quarterly, etc.).

Validation Rules

Set the conditions InboxAlly uses to mark an email as valid.
Example: “OK, Accept-All, and Unknown.”

Manual Revalidation

Click Revalidate now to trigger a full revalidation run.
Contacts validated within the past 24 hours will be skipped.

Step 4: Monitoring & Logs

The integration updates every few minutes to reflect sync and validation events.

You can monitor:

  1. Webhook Activity: Timestamp of the last event received from HubSpot
  2. Sync Logs: Details of recent syncs and validations
  3. Available Credits: Your remaining InboxAlly validation credits

These help ensure your integration is healthy and up to date.

Step 5: Troubleshooting

Issue Cause Solution
Token expired Authorization older than 30 days Click Reauthorize on the HubSpot integration page
No contacts syncing Integration permissions missing or webhook inactive Reconnect integration and reauthorize access
Validation not working No available credits Add credits under Billing → Add Credits
Seeds not appearing Sync disabled or limit reached Enable “Sync IA Seeds” and increase “Max Seeds to Sync”
Low validation success rate Invalid or inactive contacts in HubSpot Use InboxAlly filters to clean contact lists

Step 6: Uninstalling the Integration

To disconnect InboxAlly from HubSpot:

  1. In HubSpot, go to Settings → Connected Apps.
  2. Locate InboxAlly and click Disconnect.
  3. In InboxAlly, go to Integrations → HubSpot → Disconnect.
  4. Confirm to remove webhook and API permissions.

A: The sync runs automatically every few minutes through the active webhook.

Q: Does this affect existing HubSpot lists?

A: Validation pauses automatically. Refill credits to continue validating.
